Securex Consult NV, company number 0459.865.914 and EDPB Securex vzw, company number 0410.664.940, as joint responsible parties operating under the name Securex Academy belonging to Groep Securex vzw, with its registered office located in Belgium, 1040 Brussels, Tervurenlaan 43. Securex Academy, as data controller, organises physical and digital training courses and processes the personal data belonging to users of the website, the training platform and course participants. The protection of the data and the privacy of all parties concerned are of great importance to us.

Purpose of processing personal data

Personal data is processed in accordance with the European Regulation (EU) 2016/679 of 27 April, 2016, regarding the protection of natural persons with regard to the processing of personal data and the free movement of such data (hereinafter referred to as GDPR) following your registration on our training platform and/or enrolment in a course.

Your personal data is processed for the following purposes

·       Your registration as a user of our platform

·       The provision, organisation and execution of professional training courses in the field of HR & personnel management, as well as well-being and health in the workplace.

·       The evaluation and optimisation of our platforms, tools and services

·       Following up and providing feedback on enrollments, performance and training status, fulfilling our administrative obligations related to the services provided and the compulsory accounting associated with them.

·       Targeted communication through newsletters.

Legal basis for processing

The legal basis for processing the personal data of users of the platform and (potential) participants in a course is:

·       The performance of the agreement between you and/or your employer and Securex Academy

The recording of a webinar, an online training course or an event is possible for sharing afterwards. This is always communicated in advance and only occurs if no personal data from participants is shared during this recording or when there are no objections from participants.

The legal basis for the analysis and evaluation of our tools and services by and with users is based on Securex's legitimate interest in effectively managing its services and products and gaining insight into how they are experienced and used, to enable their further optimisation.

The legitimate interest is also the legal basis Securex Academy invokes to inform participants and contact persons about necessary follow-up training courses, e.g. in the context of renewing legally required certificates, about additional in-depth modules or about other relevant or interesting training domains. 

Securex's legitimate interest is also the legal basis for the processing of personal data belonging to contacts or representatives of the employer regarding

·       Customer Contract & Relation Management: for business operations and optimisation 

·       Direct marketing activities: to promote the services of Securex Academy, as well as the services of other Securex entities, to its customers

Securex will only send you as a participant general newsletters if you have given your consent.

Categories of data subject

Securex processes the personal data belonging to users of the platform and contacts of employers that use the platform and/or use its services.

Categories of processed data

Personal data can be defined as any information relating to an identified or identifiable natural person (data subject).

Securex processes or may process the following data:

·       Identification data : surname, first name, date of birth,…

·       Contact information: employer, language, email address and telephone number,…

·       Information relating to completed/current courses

Personal data can be provided by you directly or by your employer and/or client

Data retention period

Securex Academy keeps your personal data for no longer than is strictly necessary for the purposes of processing and as required by the law or the regulations.

Confidentiality and data protection

In accordance with applicable laws, Securex ensures an appropriate level of protection for personal data. These measures include the technical and organisational measures necessary to protect personal data against accidental or unlawful destruction, accidental loss, alteration, unauthorised access or any other unauthorised processing of personal data.

However, Securex points out that no security system can guarantee 100% security. Nonetheless, you can always contact us with any questions regarding the confidentiality and security of your personal data.

Data recipients

Your personal data are only processed and shared for the purposes intended:

·       Some of this data may be transmitted to our instructors or to subcontractors that provide certain services strictly within the context of a subcontracting agreement and solely for the purpose of providing Securex with the necessary technical assistance.

·       Your profile and personal data relating to enrolments and/or completed courses attended may, if necessary or useful, be shared with another Securex Group entity within the framework of Customer & Relation Management and for Direct Marketing purposes. If applicable, this data may also be shared with your employer. Other personal data will never be disclosed to third parties, an employer or the HR department concerned.

·       In the context of subsidy applications, your personal data may also be shared with the relevant organisation or authority at your request or at the request of your employer.

However, there may also be occasions when Securex Academy needs to disclose certain personal data to supervisory authorities, our lawyers, experts or judicial authorities. This is extremely rare.

Transfer of data to third countries

Securex does not transfer personal data outside the European Economic Area. If a transfer of data to a country outside the EEA becomes necessary for the performance of services, Securex Academy will implement appropriate safeguards in accordance with the data protection laws and ensure that enforceable rights and effective remedies are available to data subjects.

Your rights

You have the right to access the data processed by Securex Academy and, if necessary, have them corrected by submitting a dated and signed request, along with a copy of the front of your identity card by email to privacy@securex.be or by post to Groep Securex, Data Protection Officer, Tervurenlaan 43, 1040 Brussel.

You may also, under the same conditions and within the limits established by the GDPR, object to the processing of data or request that the processing be restricted. You may also request the erasure or transfer of your data. Further information can be obtained at the same address.

If necessary, you have the right to lodge a complaint with the Data Protection Authority.
